Case Study
Four Quarters of Missing VAT, Filed and Penalties Waived
UK limited companies — e-commerce, construction and general services · Xero
Some VAT returns had never been filed, in one case four quarters’ worth, with HMRC penalties already raised. Others had been filed on wrong figures — the more dangerous version, because the client believed they were compliant. Four quarters filed, returns corrected, penalties waived.
THE PROBLEM
Work across UK limited companies in e-commerce, construction and general services, all on Xero.
The pattern repeated. Some VAT returns had never been filed at all, in one case four quarters’ worth, and HMRC penalties had already been raised on the delay. Others had been filed but with the wrong figures, which is the more dangerous version, because the client believed they were compliant when they were not. And none of it was being planned for, so when a VAT bill did land it landed as a cash problem.
WHAT I DID
Started with the Xero file, because a VAT return is only as good as the bookkeeping underneath it. Reconciled the affected periods, corrected the VAT treatment where it had been applied wrongly, and worked out what the already-submitted returns should have said.
Brought the four outstanding quarters up to date and corrected the returns that had gone in wrong. Then set a filing calendar so each quarter is prepared and reviewed ahead of the deadline instead of on it, and put the VAT liability into the monthly reporting so it accumulates visibly across the quarter.
THE OUTCOME
All four outstanding quarters were filed and the incorrect returns corrected. The penalties that had been raised were waived. Filings are compliant and current.
The accounts now give a true reflection of the business, because every VAT correction fed back through the P&L and balance sheet. The client sees the VAT number before the quarter ends, so it gets planned for rather than absorbed as a shock.
